Improvements to BadMail Management

We’ve recently been making some improvements to the way that we handle non-delivered email to help you better manage your mailing lists and keep your contact details up to date. You’ll notice changes in a couple of places:

Sent Items
When you open an email that you’ve sent (either in “My Sent Items” or in one of your group folders), you’ll find information about the number of sucessful or failed deliveries of that mail under “Email Queue Status”.
- Click ‘+’ to reveal the detailed information. You’ll see a number of statistics:
  • Messages sent – The number of addresses that you attempted to send to.
  • Succeeded – The number of addresses that are believed to be successful. Note that this number may drop if we later receive bounce messages.
  • Failed – If the message failed to be sent to an address, or we later receive a bounce, it will be recorded here.
If there are failures, you’ll see a further link: “Show failed addresses”. Clicking this will open a further window listing the email addresses which failed. If we have some extra information about why the delivery failed, this will be provided here too. Note that this is the message we receive back from the remote server – sometimes these can be a little cryptic, but will usually provide some useful information about why the delivery failed.

Managing Bad Emails
In the Mailing tool, this is where we list addresses on your site that we have turned off because they have reported back 3 or more failures over a period of more than 10 days.

As a result of changes we’ve made behind the scenes to recognise more accurately when failures have occurred, you may begin to see a lot more addresses listed under Bad Mail.

You have three options to deal with the disabled addresses:
  • Contact - If the member has another valid email address, you can use this option to send an email to notify them or ask them to update their details.
  • Validate - This option sends one final email to the member asking them to validate the address by clicking a link. If this email successfully reaches the recipient, and they click the link, the address will be re-activated.
  • Remove - If you have no other means of contacting the recipient and wish simply to remove them from your site, you can do so here.
