Release Notes - 18th May 2010

A bumper release bringing you several brand new features, as well as the usual round of fixes and performance enhancements. As always if you have any questions please don't hesitate to contact us.

 

Brand new rota interface

We know that Insight's rota-building functionality is indispensable for many of you and we've had a lot of requests for updates to this feature.

 

In this release we have aimed to streamline all of the existing functionality, so that you can build those rotas in a fraction of the time it currently takes. We have moved as much as possible towards a drag and drop interface, so that you can move people between events and tasks with a single click, you can re-arrange your tasks, and you can copy and move whole rows.

 

The new functionality is explained in more detail in our preview.


Administrator notification and job management

Now Insight tells YOU when a job needs doing! Up until now, with many of the tasks that you're carrying out using Insight, you've had to go to the system and check what needs to be done. Now, we have added a flexible system for alerting you to those jobs and managing their completion in the Web Office. This new system is entirely in your hands - you configure exactly what you want to be notified about!

You can set up notifications on any of the following:
  • New group application (includes site registrations) 
  • Organisation, user or family photo waiting to be approved
  • Document submission
  • Form submission
  • A report of abuse on a forum, poll, or document comment
  • Payment group registration, cancellation, suspension, expiry and payment failure
The notification can be:
  • An email, sent to any admin you choose, who has the relevant permission to deal with the job.
  • A 'job' created in the Web Office, which can be assigned to an admin, and contain notes and/or a due date.

Setting up notifications

Open up the 'Jobs' panel on the Group Summary page and click the 'Configure notifications for this group' link. This opens a panel where you can set relevant notifications for this group or payment group. Click the 'Create notification' link to add a new notification and, when you're done, hit 'OK' then 'Save'.

 

Jobs

A 'Job' is simply a record of a task that needs to be carried out. It can be assigned to the person who should be carrying out the task and it will automatically be closed when the action associated with the job is completed (for example, the group application is approved). A Job can have notes added to it so that you have a complete audit trail of actions associated with any outstanding tasks.

As well as configuring jobs to be automatically created as notifications, you can also manually create a job by clicking the 'Create a new job' link in the Jobs panel. This allows you to keep records of ad hoc tasks that need to be completed.

My Jobs

At the bottom of the group tree on the left hand side of the screen, you will see a link to 'My Jobs'. This takes you to a personalised page where you will see a list of all jobs that are either assigned to you, or which you have created or edited. You can choose to filter this list based on who it is currently assigned to, its associated type, and whether it is open or closed.

On this page, you can also opt to receive an email notification when a job is assigned to you.

 

Configuring the notification emails

Each of the notification emails can be configured to your liking, just like all the other system emails. Go to the 'Settings' tab, and under the 'Emails' heading, pick 'Notifications' and you will see the various notification emails listed.

Existing form notifications

On the 'Properties' tab of a document which contained form elements, you previously had the option to enter an email address which would receive a notification when a response was received to that form. These notifications are now configured under the new system at the group level.

For any existing form notification email addresses, we have created users in a mailing list group on your site called 'FORM NOTIFICATION USERS'. We recommend that you re-configure your notifications to go to proper users, and then delete this group.

Media Player component

Embedding video on a page was previously an advanced operation, involving pasting source code into an article. Not any more! We have added a Layout component to take all the hard work out of embedding a video. You can also use this component to embed an audio player on the page.

Not only can you embed any of the audio/video media types supported by Insight, but you can also embed video recordings from the popular video sharing sites YouTube, Vimeo and blip.tv - just enter the URL of the video from the site, and we embed it for you!

The media component can be added to a layout in the usual way - just go to the 'Themes and Layouts' page under the 'Settings' tab, and open the module's configuration to get started. You can set whether your media file is on the Insight system ('local') or from one of the sites above ('remote').

Copying of Payment Groups

As Insight's Payment Group functionality has grown in power and complexity, so has the scale of the effort required to set one up! We know that often you just want to re-use the same sort of payment group - for example, a recurring conference - so we've now made it very simple for you to copy the structure and settings of an existing payment group to create a whole new one!

Just go to the Summary tab in your payment group, open the 'Advanced Options' panel, and you will see a new Task - 'Copy the [pg groupname] Payment Group'.

Other enhancements and bug fixes

  • Thumbnail images can now be added to Media RSS feeds.
  • In the Query Wizard, querying for shop items, we have added a column for the tax percentage applicable for the default region. This gives you all the columns you need to export a catalogue for Google Product search.
  • Shop item images now appear in the query results.
  • The full URL of shop items is included in the CSV export.
  • We have sped up the process of adding a related item to a shop item.
  • We have added an iCal RSS feed to the 'My Family's Reminders' page so you can now keep up-to-date with all your famliy's rota duties.
  • We've fixed a bug that was preventing the saving of fixed dates for payment schemes.
  • There was an issue which prevented refunding of certain payments; this is now fixed.
  • We have tidied up the display of addresses in the organisation directory component.
  • In certain circumstances the forums comment box had an odd appearance. This is now fixed.
  • Enhanced styling on  'My Bookings' add resource page.
  • Update to 'Cookies not enabled' page.

Hi
Before the notification enhancement it was possible to have form responses emailed to anyone whether or not they had web office access. Now it seems to be restricted just to web office users. This seems a retrograde step to me - would you reintroduce the ability to send to any email address please?

The old system of sending notifications to email addresses that weren'yt connected with a user record meant they weren't stored in the user's mailing history and you ended up with random email addresses scattered throughout the system. If someone changed their email address (or wanted to opt out, or left) then previously there was no way of finding out which forms in the system their address was attached to. Connecting notifications with user records means this is now all seamlessly maintained.

We therefore have no plans to reintroduce the ability to enter adhoc email addresses to form notifications.

ok I see - but is it necessary to restrict the choice of destination to weboffice users as opposed to more normal users?

We restricted notifications to users with permissions to carry out the notifications as in all other cases I believe this is what you'd want e.g.there's no point in telling someone there's an application to join a group if they don't have the permission to approve that application.

In the case of form responses clearly you have a desire to send the email notification to other users, which makes sense as in this case the email notification isn't telling you to carry out an activity in the Web Office. I'll raise a case for this as I can now see it seems a very valid request.
