New Rota Interface Preview

We know that for many of you Insight's rota-building functionality is an essential feature. We're also aware that the interface has needed an overhaul to bring it up-to-date so that's just what we've done.

Click on the video below for a preview of what it'll look like. The update is due for release in the next couple of weeks. Let us know what you think.

Looks really good, the only other really useful step would be to have an email link which could send it to everyone in the group as well as just the participants. Thanks

Excellent, a marked improvement and will help us considerably.

I'd also like to add my voice to those asking for a 'drag and copy' feature. The new system looks like it will speed things up considerably but drag and copy could well make it even faster!

+1 for the combined rota and copy and drag functions.

But Thank you, it's a massive step forward and will save so much time already.

Will we be able to send each individual their pdf rota or will it still be just the current basic format in an email when you send them out?

Great improvements - Thank you!

One change I'm still longing for is to be able to email/publish a rota between set dates. We plan services many months ahead and so some of the slots are filled and some not. Every time we want to update people with the rota for the next month or so we end up sending a long and patchy document which doesn't look very professonal. Do others have the same problem?

Thank you for the comments on the new rota interface - very useful.

The scope of this development was to overhaul the rota interface to streamline the existing functionality and make it easier to build a rota whilst providing more consistency with the interface for other tasks in the Web Office such as creating an article. We're always listening to your feedback, and we do already have feature requests for many of the additions mentioned and these are prioritised against the other hundreds of requests we receive. While some of these requests didn't make it into this round of changes, we have laid much of the important groundwork to make improvements to this area in the future.

One specific observation mentioned about the changes is that having to manually save your rota is a step back. This is a significant change so here's an explanation of why we've made this modification. The 'Save' button has been added to make saving rotas consistent with how other content is committed to your web site e.g.articles. The addition of a 'Save' button also means when changes are made to your rota, or you make a mistake, e.g.a column is accidentally deleted, you now have the choice to revert back to the original rota. When 'Save' is pressed the rota will remain open so you can continue to make further changes. If a user goes to save their changes and a session timeout occurs, logging back in should recover that work, as with the document editor.

I hope that clarifies why that change has been made. It would be great to add an automatic saving of a draft version in the future, but this is not a quick addition that we can add now.

Some ideas have also been mentioned to make it easier to add people to a rota namely, making names permanently visible in a column beside the rota and the ability to copy specific users.

We discussed displaying users for selection in a frame to the right of the rota that could be hidden if required. However, it was felt adding users would now be so quick that the benefit of making them permanently visible would be small, and the addition of a permanent frame would take up valuable screen space reducing the visibility of your rota. That said, this may still be an addition we reconsider in the future.

We also discussed adding a shortcut for copying specific users. This may still be something we add but probably not before this release. Once people have experienced how easy it is to add a user to a rota we can then see how much of a benefit this is still considered to be.

Finally to clarify a comment about rota clashes; we do currently flag up clashes between rotas for an individual and this functionality will be maintained.

The new rota functionality will be released tomorrow. All existing rotas will be edited using the new interface.

Like the save button so as to not lose a lot of work when making an error! Do NOT like the view - I like to scan the whole as a go, especially when adding a new name mid rota. Had to go to printable version to get this. Is there another way? Also, do I have to add names individually now instead of a group then transferring them? THAT will take some time, especially as mentioned by others, not having a copy/drag/paste option. Thanks to seeking to improve web office.

Guest: As far as I'm aware we have not made any changes to how users are added to the rota. You should be able to add all the people you require in one 'Import other User' step and then move them about as you wish.
